Project Email / E-doc conversion for Corporate Law Department
Client's Goals
  1. Incorporate email and electronic documents into larger electronic repository currently maintained for scanned documents.
  2. Provide faster processing of emails and electronic documents.

Technical Issues
  • Adapted third party software to fit client's needs· Convert the emails, their attachments and most (98%) of any common electronic document to:
    • Delimited text file, including all meta data available, for upload to retrieval system
    • TIF image of document, as if it had been scanned.
    • Full-text of textual documents
  • Choose emails (with or without attachments) and/or electronic documents within a specific folder on the client network designated as storage for such;
  • "Point and Click" and /or poll the folder for available files to convert
  • Custom programming to include electronic bates labeling and import into client's corporate retrieval system

Culture / Political Environment

Knowledgeable client requiring faster retrieval of consolidated document collection (both scanned documents, electronic documents and email). Excellent cooperation between client operations and IT department; supportive of concept and AmDoc as service provider.

Previous process involved searching email / e-document repositories for significant documents; printing to paper; scanning and re-indexing for inclusion in retrieval system. Client had been searching for better solution for several years.

Financial Issues Reduced "E-to-P-to-E"1 conversion costs by 50+%. Decreased delivery time from one month to five days.
