AMDOC provides users access to both scanned and electronic documents through standard web browsers. Each user has a specific password to the system. Each project has its own security to ensure privacy to specific case information.
Users view coded/indexed data, images, and any full-text associated with the documents. Reports are available for users to create on the fly. Editing, such as attorney review notes or user comments can be added at any time.
Multiple users are able to retrieve documents through a secure, on-line hosted retrieval system. This system is available through standard web browser software.
The hosted retrieval system consists of:
- Scanned images representing hard copy documents
- Electronic documents (word processing, spreadsheets, CAD drawings, presentations, etc.)
- Coded index data for organizing and retrieving documents
Full text for in-depth searching
The retrieval system makes even the most complicated tasks seem remarkably easy. Fortune 500 corporations, government agencies and almost 80% of top law firms rely on this system for their mission-critical projects.
Standards features include
- Search data and full-text
- "Folder" key documents for fast re-retrieval
- Edit capabilities with authorization (see advanced features below)
- Organize / Sort
- Ad-Hoc, user created reports
- View Images
- Easy-to-learn / Easy-to-use
Advanced features include:
- Field level authorizations. Each field can be assigned to specific users and/or user groups to be able to view or edit. The project administrators assign authorization on a user level to be able to edit or even to be able to see a specific field.
Security
AmDoc's on-line retrieval system uses a nine-level security system to protect the integrity of data and images. Access to secure data can be restricted by group, database, or user - right down to the field level.
The retrieval system also leverages proven industry standard Internet security, such as AuthentiX WebQuota, IIS Lockdown and SSL encryption to ensure that confidential information stays protected from any prying eyes.
Database and Field-Level Security
Menu and field access administration security is internal to the retrieval system. It works when users access databases through the program. Password protection for both databases and menu features gives the administrator supervisory control over both functions and information.
Once field level security is enabled, users can be assigned full read and write access, or limited access on a field-by-field basis. Users without field-level read access cannot view or even search for the secured data.
FURTHER OPTIONAL SECURITY ADD-ONS
When projects demand more than the standard nine-level approach, a number of optional add-ons are available:
- Biometric Mouse -- gives users access to the site if their fingerprints match those enrolled in the system
- IRIS Scan -- uses biometric technology to scan the iris of the eyeball and matches to the iris print held in the system -- with an error rate of 10 to the 38th power
- Secure Key -- a small key is given to each user and must be inserted into the laptop or workstation in order to gain access to the site
- Signature Recognition -- each user signs onto a small signature pad prior to gaining access to the system. The signature must match the one on file for that user.
Technical Support
AmDoc provides all technical support, including server hosting, access, backups, updates and maintenance.
AmDoc maintains an Information Services department with programmers, systems analysts, network administrators and automated task coordinators. These individuals maintain the network and computer systems required for our technical support.
AmDoc maintains a robust, multi-server network, with high-speed telecommunications between all AmDoc offices as well as key clients. The servers and network equipment are maintained in a locked, controlled access, environmentally secure portion of our facility. Only Systems department and key management employees have access to this area.
In addition, key individuals on this team are available for client support as required. Custom interfaces with many diverse imaging retrieval systems are developed by our programming team.
All production work is backed up on a daily and weekly basis. Backup tapes are stored off-site on a rotating basis. In addition, AmDoc burns back-up delivery CDs of all client work after upload and/or delivery. An optional high speed, electronic backup is also available for storage at another AmDoc facility.
A technical support person is assigned to each project to provide software and retrieval assistance during business hours while project work is being processed. After hours support is provided by a 24-hour on-call process accessed via beepers and cell phones.
Image Viewer
AmDoc utilizes a robust image viewer, available in two versions:
- Standard Viewer - available without user fees. Allows users to search, view, zoom, pan, rotate and print individual documents locally.
- Enhanced Viewer - additional fees required. Allows users to view, high speed local printing, batch printing, with or without redacting capabilities.
