Repository Management

Checking containers out of repositoryAmDoc has developed stringent procedures to ensure that all clients’ documents are kept in a secured environment. 

As a modern repository, AmDoc receives many different types of "containers" into its repository.  These include the traditional box of documents, but also include computers, hard drives, cell phones, rolled tubes of drawings, digital cameras, video tapes and many other types of media that contain information.

Each container is housed in a secured repository that is also only accessible by AmDoc's approved personnel. AmDoc tracks each container of documents as it leaves and returns from the repository. 

All containers received at AmDoc are logged into Citadel, our automated repository management system. This application tracks all containers, tasks completed, by whom completed and processing status. Each individual is required to log all work in and out of the repository at a “batch” level on a daily basis. This ensures the integrity of both the documents / files and the processes. Reports are available that fully document the custody of each piece of paper and its location at any given time.

Each container received in our secure repository is inspected for condition.  A receipt is sent to the client documenting the receipt of each shipment. 

Production employees log out each batch either physically or electronically, complete their assigned task and log the batch back into the repository. Every employee who works with client documents is tracked through the repository system. This enables AmDoc to produce a chain of custody detailed as to date, time and tasks completed on each piece of paper that enters our facility.
