AmDoc's was founded as an imaging service. These original services are still our core competency: scanning and indexing documents for high-powered retrieval.

Imaging is the conversion of paper documents to electronic images for use in an imaging retrieval system.

Services in this category include:

Scanning
Scanning documents of all sorts, sizes, paper weights and colors begins the process of establishing a centralized repository. Among the capabilities AmDoc offers are:
  • Black-and-white and grayscale scanning

Indexing / Coding Services
In order to be able to quickly retrieve documents, images must be indexed. Organizing by the appropriate indexes for ease-of-use as well as cost effective budgeting is AmDoc's expertise.

Remote Coding
Maximizing the capabilities of project resources is critical to every project. The most valuable resource is the intellectual capital of informed people.

AmDoc offers expanded opportunities to take advantage of additional personnel. Our Remote Coding (Indexing) Service allow scanned images to be accessed on-line for indexing and analysis. This creates an expanded workforce made up of:

  • Remote workers in multiple time zones working extended hours each day.
  • Remote project management
  • Utilization of knowledgeable client personnel to be involved in either basic or expanded indexing and/or quality assurance tasks
  • Client oversight of coding / indexing prior to final delivery

How does it work?
Remote coding team members are carefully recruited, screened and cleared for specific types of expertise. Each person is trained in on-line indexing processes. At the end of their training period, each person is assigned an on-line mentor and supervisor. Each individual is assigned to one or more projects, depending upon the nature of the project. These individuals may be physically located almost anywhere. Most of AmDoc's "virtual" coding team are located within the Continental U.S. or Canada.

When a client chooses to engage Remote Coding Services for a project, the project management team develops coding/indexing parameters and written instructions specific to each project. This information is put into an on-line coding manual, augmented whenever project parameters are updated or changed. Documents for the project are scanned, either on-site at the client's designated location or at one of AmDoc's Regional Document Centers.

Scanned images are presented in a secure on-line environment to members of the assigned Remote Coding team. Members of each Remote Coding team assigned to a specific project are given pre-defined levels of access to batches of documents to review. Depending upon the capabilities of a specific individual, they may assigned to basic or advanced coding, quality review, or management responsibilities. Individuals from the client's team may be granted view-only (for oversight responsibilities), view-and-edit (for quality control), basic or advanced coding or complete management privileges.6

Information from each batch is extracted and entered into the connected database. On-line quality review is done by QC personnel. Revisions and corrections are returned to the original person who worked on that batch. After final quality review, the batch is "released" and uploaded to the client-designated system: AmDoc's on-line hosted retrieval system, an in-house retrieval system, a client archive or any other system the client wishes.

"Indexing" is a term used primarily in commercial projects; "coding" usually refers to the same task when used in litigation support projects.
