Utilizing Electronic Discovery

In the past electronic documents have been opened electronically, printed out to hard copy, Bates numbered (if required), scanned, and then coded. This process is extremely time consuming and subject to human errors.

AmDoc’s utilizes the most up-to-date systems and procedures for Electronic Discovery.  Incorporating electronic data into powerful systems that allow legal teams to make legal decisions quickly is key to the success of these projects.

AmDoc's e-discovery process bypasses the manual portion and fully automates an intelligent document retrieval and searching system. The electronic documents are converted E-to-E— Electronic to Electronic —taking electronic documents dispersed among various servers, hard drives, and other depositories and automatically converting them for use in a coherent retrieval system.

E-Discovery Workflow
Inventory Creating a list of data within a collection, including the type, size, date created, custodian (if known) and other information critical or helpful in the decision of how to work with the collection.
Extraction Extracting the correct data from the electronic files, without changing what was there originally.  Many specifics must be decided, such as how to handle hidden cells within a spreadsheet, or whether to print the speakers notes from a presentation.  Extraction can also involve ensuring that the full-text of files is available and correctly formatted for the retrieval system to be utilized.
Investigation Some cases require examining specifics about the data.  While this type of thing is the pervue of forensics, e-discovery technicians are often used to cull documents based on case specifics such as key words, date ranges or individual custodians.
Examination Usually handled by the legal review team, the contents of individual files -- as well as the relationships between files -- is the key element in any case.  AmDoc provides powerful, web-based systems that allow fast, easy and collaborative review of documents
Redaction Some projects require redacting confidential information.  AmDoc's review systems allow either the legal review team or AmDoc's paralegals to perform this function, and to link the original native file with the text, and redacted versions of the documents.
Conversion AmDoc recommends that converting native files to either TIF or PDF images wait until the files are needed for production.  Converting files to TIF/PDF is time consuming and costly.  Waiting until this step is absolutely needed allows consistency within the collection, and save money.
Production

Producing electronic files can be provided in native file format, TIF, PDF; with or without embedded text; with text that reflects redactions; with or without new Bates numbers; with or without case-specific or production-specific legends and watermarks; with or without new page numbers.

Custom Reports AmDoc can provide reports about the files as well as about the process.  Some common reports are Production Reports, Privilege Logs, Review Statistics (for tracking the rate of review); Daily Production; Conversion and Operations Reports
