American Document Management provides on-line, hosted retrieval for its clients through either iCONECT or Clearwell.

AmDoc provides everything needed: technical support, equipment, systems administration, backup, security, and redundant storage services. AmDoc provides a completely secure environment, with a minimum of seven layers of protection.  Additional levels of security—including biometric fingerprint recognition—is available to clients who need added assurance.

Clients only need a simple web browser to log into a secure website with user-specific security information.  From here, the client has access to his or her data, images, archived email, drawings, full-text, PDF files—everything needed for a specific project, corporate archive, customer service applications, HR records, etc. Editing, such as attorney review notes or user comments, can be added at any time, and reports can be created by users on the fly.  We do all the work, you just access your documents! From any location, at any time of day.

The retrieval system makes even the most complicated tasks seem remarkably easy. Fortune 500 corporations, government agencies and almost 80% of top law firms rely on this system for their mission-critical projects. The hosted retrieval system consists of scanned images representing hard copy documents, electronic documents (word processing, spreadsheets, CAD drawings, presentations, etc.), and index data for organizing and retrieving documents. 

Capabilities

Full text provides for in-depth searching, with standard, easy-to-use capabilities including data and full-text searching, key document foldering for fast retrieval, organizing and sorting capabilities, and ad-hoc  user-created reports.

Additionally, AmDoc utilizes a robust image viewer, available in two versions. The Standard Viewer, available without user fees, allows users to search, view, zoom, pan, rotate, and print individual documents locally.  The Enhanced Viewer, requiring additional fees, allows for high-speed local printing and batch printing, with or without redacting capabilities.

Furthermore, clients can implement the advanced feature of field-level authorization. With this capability, project administrators can set field viewing and editing permissions for specific users and/or user groups to enhance security and confidentiality of the overall project.  

Security

AmDoc's on-line retrieval system uses a nine-level security system to protect the integrity of data and images. Access to secure data can be restricted by group, database, or user—right down to the field level, with our field level authorization feature.  To ensure that confidential information stays protected, the retrieval system also leverages proven, industry-standard Internet security, such as AuthentiX WebQuota, IIS Lockdown, and SSL encryption.

Password protection for both databases and menu features gives the administrator supervisory control over functions and information.  Once field-level authorization is enabled, project administrators assign viewing and editing permissions on a field-by-field basis to individual users and/or user groups. Users without field-level viewing authorization cannot view or even search for the secured data.

Optional Security Add-ons
If projects demand more than the standard nine-level approach, additional levels are available:

• The biometric mouse gives users access to the site only if their fingerprints match those enrolled in the system
• An iris scan uses biometric technology to match the on-site scan the eye’s iris to the print held in the system, with an error rate of 10 to the 38th power.
• A small, secure key is given to each user and must be inserted into the laptop or workstation in order to gain access to the site
• Signature recognition requires each user to sign a small signature pad prior and checks for a match to the signature on file before allowing access to the system.
